In plain terms: When somebody fills out your form or calls your number, they are ready right then. Reach them in five minutes and you will probably win. Reach them after lunch and they have usually hired someone else. Most businesses take almost two days.
Here is the study worth knowing, because it has held up for years and it is about your phone, not about AI.
Dr. James Oldroyd at MIT analyzed thousands of leads with InsideSales and found that calling a new lead within 5 minutes instead of 30 made reps 21 times more likely to qualify that lead. Within five minutes, you are also about 100 times more likely to actually get them on the phone at all.
Then Harvard Business Review ran a separate audit of 2,241 companies to see how fast businesses actually respond. The average was 42 hours.
Twenty-one times better at five minutes. Forty-two hours in practice. Almost nobody is even playing the game.
Why the window is so short
The person who just submitted your form is in a rare state. They have decided to solve the problem, they are holding the phone, and you are on the screen in front of them.
Five minutes later, that state is gone. They are back at work, or they moved to the next name on the list. You did not lose them to a better competitor. You lost them to a faster one, and speed is the one thing about your competitor you can copy by Tuesday.
The math on your own business
Take a week of your inquiries. Say eight came in and you got back to five of them the same day, which would already put you ahead of most.
If faster response even doubles your win rate on the ones you currently miss, and your average job is $800, that is roughly a few thousand dollars a month that currently walks away quietly. Not because your work is worse. Because your callback came second.
An expense you can see gets managed. Revenue that silently never arrives gets ignored for years. This is that second kind.
What actually fixes it
Not discipline. Every owner promises themselves they will answer faster, and it lasts four days, because you were on a ladder or with a customer, which is exactly where you should be.
The fix is a system that answers in the window for you: the inquiry comes in, and within a minute the lead gets a text that sounds like your business, answers the obvious first question, and offers a time. When they reply, you get pinged with the whole thread. You joined the conversation five minutes in, instead of starting it two days late.
One honest caveat: speed gets you the conversation, not the job. If your quote is wildly off or your reviews are rough, answering in one minute will not save it. Speed just makes sure you are in the room when the decision happens.
